Executive Summary
We are seeking a highly organized, proactive, and linguistically gifted Executive Personal Assistant to support the Head of CX and Product Design. This is a dual-impact role requiring the seamless coordination of executive operations and high-level professional translation. The ideal candidate will act as a strategic partner, ensuring that both the manager’s schedule and their cross-cultural communications are handled with precision, cultural nuance, and professional flair.
Key Responsibilities
Professional Translation & Localization
* Document Translation: Provide accurate and context-aware translation of strategic documents, research reports, and design presentations.
* Live Interpretation: Facilitate real-time interpretation during high-stakes meetings, workshops, and international stakeholder engagements.
* Cultural Liaison: Advise on cultural nuances and linguistic etiquette to ensure that CX initiatives and product designs resonate authentically across diverse markets.
* Quality Assurance: Proofread and edit translated materials to ensure they align with the organization’s voice and the specific terminology of the design and banking/finance sectors.
Strategic Administrative Support
* Calendar Management: Proactively manage a complex, high-volume calendar, prioritizing requests and resolving scheduling conflicts with minimal oversight.
* Travel & Logistics: Coordinate intricate international and domestic travel itineraries, including visa processing and local logistics.
* Correspondence: Manage incoming communications, drafting professional responses and filtering inquiries to ensure the Head of CX focuses on high-impact initiatives.
* Meeting Orchestration: Prepare agendas, capture high-level minutes, and track follow-up actions for departmental and leadership meetings.
Project and Team Coordination
* Assist in tracking the progress of key CX and Product Design workstreams and team needs.
* Prepare visually compelling presentations and reports (familiarity with design tools or high-level slide deck creation is a plus).
Qualifications & Skills
* Linguistic Mastery: Native or near-native fluency in Vietnamese and English. A formal certification in translation or interpretation is highly preferred.
* Experience: Minimum 5+ years of experience as an Executive Assistant to C-suite or Senior Leadership, preferably within a global or design-led organization.
* Communication: Exceptional written and verbal communication skills with the ability to "code-switch" between formal business settings and creative design environments.
* Tech Savviness: Proficiency in Microsoft Office 365, Slack, and project management tools (e.g., Jira, Confluence etc). Familiarity with CAT (Computer-Assisted Translation) tools is a bonus.

* Industry Knowledge: A foundational understanding of Customer Experience (CX) principles, Product Design workflows, or the financial services industry.

Specific Language Requirements
* Bilingual Mastery: Near-native or native proficiency in both Vietnamese and English, with a sophisticated command of both formal (business/legal) and creative (design/tech) registers in both languages.
* Contextual Translation: Ability to translate complex Customer Experience (CX) concepts and Product Design terminology (e.g., user journey mapping, empathy maps, heuristic evaluation) into natural, professional Vietnamese.
* High-Stakes Interpretation: Proven experience in consecutive or simultaneous interpretation for executive-level meetings, particularly involving international stakeholders or regional banking partners.
* Localisation Expertise: Deep understanding of Vietnamese cultural nuances and consumer behaviour to help "localize" global design strategies for the local market.
